The Food and Community Trust is committed to protecting your personal information and being transparent in what we do with it.  We are committed to using your personal information in accordance with our responsibilities. 

Processing your information is carried out by or on behalf of Food And Community Trust. This notice tells you how we collect, use and protect your personal information.

• Sensitive information or protected characteristics. This might include Free School Meal eligibility, ethnicity, Special Educational Needs, medical information

• When you support our work through a donation 
• When you get in touch with us through an online form, email or call. 
• When you apply for a job or volunteer post 
• When you sign up for an event, including online booking 
• When you are a use our services such as Youth, foodbanks or debt support.  
• When you fill out a consent form online or in person for our work with young people. 
• When you participate in our training 
• When you enter into a contract with us 
• When you use our online forms 

Why we might use this information: 

• To ensure we can meet the needs of a beneficiary. For example receiving a foodbank parcel at the correct location with any medical or dietary needs considered. 
• To fundraise and promote the interests of the charity including meeting funding requirements; 
• Responding to a request:  If you contact us we may use personal information to prvide you with a response 
• To manage our employees and volunteers; 
• To process a donaton: Including claiming gift aid 
• To maintain our own accounts and records 
• Legal, regulatory and tax compliance 
• Newsletters, fundraising and direct marketing: To inform you of news, events, activities and services running through the Food and Community Trust; 
• For consent, medical and emergency contact information to enable young people to attend sessions, trips, events and residentials and for us to meet needs and keep them safe. 
• To participate in surveys and research to improve our services 
• Monitoring and evaluation 
• Processing an application to work or volunteer with us.  This includes running checks such as a DBS where work involves regulated activity. 
• For safeguarding purposes 

What is the legal basis for processing your personal data? 

Our standard legal basis for processing personal information is for our legitimate interests. 

We may ask for your consent, for the performance of a contract or to meet our legal obligations. 

We may collect and use your personal data if it is necessary for our legitimate interest and so long as its use is fair, balanced, and does not unduly impact your rights. 

We will ask for your consent to send you marketing emails and text messages. You can withdraw consent for this at any time. 

Usually, we will only process sensitive personal data if we have your explicit consent. In extreme situations, we may share your personal details if we believe someone’s life is at risk. 

We may process personal information because we are legally obliged to do so (for example to meet employment or charity laws). 

Sharing your personal data 

Your data is treated as strictly confidential and we will only use your information for the purposes it was obtained.  We will not sell or share your personal information with any third party for their own purposes. 

We will only share your data for the following purposes: 

• Where we have legitimate delivery partners that require information to run projects and support beneficiaries.   
• Where legally required to do so.  This might be for emergency services when someone is at serious risk or government for tax purposes.  
• For meeting funding requirements 

How long do we keep your personal data? 

We will hold your personal information only for as long as is necessary. We will not retain your personal information if it is no longer required. In some circumstances, we may legally be required to retain your personal information, for example for finance, employment, safeguarding or audit purposes. 

Cookies 

A cookie is a small text file that is downloaded onto a computer or mobile device when the user accesses a website. It allows the website to recognise that user’s device and store some information about the user’s preferences or past actions (this all depends on the cookie).  

We require your consent but if you remove all cookies, you may be signed out of websites, your saved preferences could be deleted, and websites won't function as you expect. The accessibility widget and the ability to change language (if enabled on this site) may cease to function, and videos and maps may not appear.

Your rights and your personal data

• The right to request a copy of your personal data which the Food and Community Trust holds about you; 
• The right to request that the Food and Community Trust corrects any personal data if it is found to be inaccurate or out of date; 
• The right to request your personal data is erased where it is no longer necessary for the Food and Community Trust to retain such data; 
• The right to withdraw your consent to the processing at any time 
• The right to request that the data controller provide the data subject with his/her personal data and where possible, to transmit that data directly to another data controller, (known as the right to data portability), (where applicable) 
• The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing; 
• The right to object to the processing of personal data, (where applicable) 
• The right to lodge a complaint with the Information Commissioners Office. 

Further processing 

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
